This notice explains privacy-related practices associated with the POS4U ERP product website and the current offline-first POS4U ERP software.

1. Overview

POS4U ERP is business management software developed by MAK4U Technologies. It includes point-of-sale, inventory, purchasing, accounting, CRM, warehouse, order, reporting and related operational capabilities.

POS4U ERP is designed around an offline-first architecture. Core business operations can use locally stored information without requiring a permanent internet connection. Deployment options may also include Company Server/LAN environments for authorized systems within a business network.

This notice describes the current product and website architecture. Individual deployments, integrations or future services may introduce additional processing, in which case this notice may be updated.

2. Product website information

The POS4U ERP website primarily provides product, feature, licensing, pricing and business information.

The current website does not itself provide POS4U customer accounts, online checkout, behavioral advertising or a website form that stores customer information directly within this website.

The infrastructure used to host and secure the website may process limited technical information necessary to deliver the service, such as:

  • IP address
  • browser and device information
  • requested pages or resources
  • timestamps
  • security and server logs

Such technical processing may be performed by hosting, domain, networking or security providers according to their applicable policies and terms.

3. Information used inside POS4U ERP

Depending on how a business uses POS4U ERP and the features available in its installed version, the software may contain operational information entered, generated or imported by that business.

This may include information associated with:

  • business identity, settings and company records
  • business tax or VAT identifiers where supported and configured
  • products, categories, brands and inventory
  • warehouses and stock movements
  • customers and suppliers
  • customer or supplier tax and VAT information where supported and entered

The business using POS4U ERP is responsible for deciding what information is entered into its system and for using that information appropriately under the laws and requirements applicable to its operations.

4. Local and offline-first storage

POS4U ERP is designed so that core operational information can be stored and processed locally on the system where the software is installed.

Depending on the deployment arrangement, authorized POS4U ERP systems may also exchange or access business information through a Company Server/LAN environment operated within the business's infrastructure.

This design allows essential business workflows to operate without depending on a continuously available internet connection.

Locally stored or LAN-accessible information remains subject to the security, permissions, backups and access controls of the devices, operating systems, network and business environment where POS4U ERP is deployed.

5. Licensing information

POS4U ERP uses commercial software licensing intended to protect authorized installations and licensed usage. Available commercial licenses may include time-limited licenses and Lifetime Software Licenses.

Licensing workflows may use information such as:

  • license identifier
  • licensed business or company information
  • license type
  • license term, validity or expiry information where applicable
  • approved device information
  • a device-derived fingerprint or identifier

Device fingerprint information is used for licensing and installation validation rather than advertising or behavioral profiling.

The exact licensing workflow and information required may vary depending on the license type, software version and deployment arrangement.

6. Backups, imports and exports

POS4U ERP includes workflows that may allow businesses to import, export, print or back up information.

Once information is exported from POS4U ERP, its protection depends on where the business saves, shares or processes the resulting file or document.

Businesses should protect:

  • database backups
  • spreadsheet exports
  • PDF documents and invoices
  • CSV or other exported files
  • printed business documents
  • external storage containing POS4U data

MAK4U Technologies cannot control copies of information that a customer intentionally exports, prints, transfers or stores outside the product.

7. Third-party services and integrations

POS4U ERP may support workflows involving files, platforms or services operated by third parties.

Where a business chooses to use an external platform, service or integration, information handled by that service is also subject to the third party's own terms, privacy practices and security controls.

Links from the POS4U website to MAK4U Technologies, app stores, GitHub or other websites are likewise governed by the privacy practices of those external services.

8. Security

POS4U ERP is developed with security, data integrity and controlled business access in mind.

Businesses should also maintain appropriate safeguards for their deployment, including:

  • secure operating-system accounts
  • strong authentication practices
  • appropriate POS4U user permissions
  • device and local-network security
  • regular backups
  • controlled access to exported files
  • physical security of business systems

No software, storage mechanism, network or transmission method can guarantee absolute security.

9. Data retention

For locally operated or Company Server/LAN POS4U ERP installations, retention of business information is primarily controlled by the business using the software and by its database, backup and document-management practices.

Businesses should retain accounting, taxation, employment, customer and other records for the periods required by the laws and professional requirements applicable to them.

10. Customer and business responsibilities

POS4U ERP is a software tool. The organization using the product remains responsible for its own business records and for determining its obligations relating to privacy, taxation, accounting, invoicing, consumer protection, employment and other applicable requirements.

Businesses should ensure that they have appropriate authority to collect, store and process personal, tax, VAT or business information entered into POS4U ERP.

Product features intended to assist with business, tax or VAT-oriented workflows do not by themselves constitute legal, tax or regulatory advice or guarantee that a particular deployment satisfies every requirement applicable to the business.

11. Children

POS4U ERP is professional business software and is not designed as a service directed toward children.

12. Future services and changes

POS4U ERP will continue to evolve.

Future capabilities may include additional connected, cloud, synchronization, AI, communication, analytics or other services. Such functionality may involve different information-processing practices from the current offline-first product.

Where those changes materially affect privacy practices, this notice or additional product-specific notices will be updated as appropriate.
